How CertWright works
From submitted form to verifiable certificate.
CertWright connects the information your website already collects with certificate design, PDF generation, email delivery and public verification.
This page explains the complete journey so you can decide whether the system suits your organisation before installing it.
The complete journey
Configure
Map the form and design the certificate.
Issue
Create a numbered PDF from a valid submission.
Deliver
Queue and email the certificate.
Confirm
Verify its current status online.
Initial setup
Prepare the system once.
An administrator completes the setup in WordPress before certificates are issued. The settings remain editable, but routine recipients never need access to the administration area.
1
Choose and map a form
Select one of the form-maker integrations available in your CertWright installation. Choose the form that collects the certificate application or completion information, then map its fields to the recipient name, email address and any additional details required on the certificate.
The mapping supports a single full-name field and forms that divide names into given, middle and family fields. Once saved, this mapping tells CertWright exactly where submitted information belongs.
2
Set the certificate wording
Enter the certificate headline, introductory wording, achievement statement, representative name and representative title. CertWright combines this fixed wording with the information supplied by each individual form submission.
Numbering options allow the organisation to use a recognisable prefix and sequence instead of relying on an arbitrary filename.
3
Add the design and branding
Choose portrait or landscape orientation, then upload a matching full-page background. Add the organisation logo, representative signature and an optional transparent frame. The background is required because it provides the certificate surface; the frame is optional.
Use the Template Designer to position and size the certificate elements, then save the layout that generated PDFs will follow.
At the moment of submission
CertWright creates the record and PDF.
When a correctly mapped form is submitted, CertWright reads the mapped information, creates a certificate record and assigns its certificate number. It then combines the submitted details, saved wording and template layout to generate the PDF.
The PDF is tied to the certificate record rather than existing as an anonymous file. An administrator can later locate the record, view the PDF and inspect the information used to create it.
Mapped submission information
Unique certificate number
Consistent saved design
Permanent certificate record
Delivery is visible and manageable.
After successful PDF generation, CertWright can queue an email to the recipient with the certificate attached. The queue makes the delivery process visible: administrators can see pending, processing, completed and failed messages instead of assuming that WordPress sent an email successfully.
Temporary failures can be retried, while logs and diagnostic information help identify whether the difficulty arose during certificate processing or from the website’s SMTP service. Correct outgoing-mail configuration remains necessary.
Verification continues after delivery.
The recipient can present the PDF, but the document does not have to be trusted on appearance alone. A QR code can take the viewer to the certificate’s verification information, and the public search facility can confirm whether the issuing website recognises the certificate.
If an administrator later revokes or changes the status of a certificate, the public verification result reflects the current record. Previously issued certificates remain recorded even if the organisation does not purchase or renew Pro.
What the administrator can do afterwards.
CertWright provides a working record system, not merely a PDF generator.
Find and review
Search certificate records, open the associated PDF and review identifying details and current status.
Correct and regenerate
When an authorised correction is appropriate, regenerate the PDF without replacing the certificate with an unrelated record.
Diagnose problems
Use logs and diagnostic reports to investigate PDF generation, database, mapping or email-delivery problems.
